I-9 VERIFICATION- A NON-NOTARIAL SERVICE

Every employer must verify employee identity and employment eligibility. While no notarization is required for this document, employers may appoint an Authorized Representative to complete I-9 Verifications and re-verifications to help remain in compliance. ID Verification

Forms of identification that must be presented at the time of the notarization can include:

  • Valid, unexpired, government issued ID with photo and description such as a driver’s license or passport or passport card. You must show both the front and the back and it must display your signature.
  • At least two current documents issued by an institution, business entity, or federal or state government with at least the individual’s signature
  • The oath or affirmation of two witnesses who know the individual personally and provide identification that meets the requirements listed above.

Details of your notarization will be recorded and your document notarized by Acknowledgment or by oath or affirmation for notarization by Jurat.

What is an Acknowledgement?
An Acknowledgement is a formal declaration before a duly authorized officer by a person who has executed an instrument that such execution is his act and deed.

What is a Jurat? 
A Jurat is a notarization in which a a signer swears to or affirms the truthfulness of the contents of a document to a Notary or notarial officer.

    Remote Online Notarization (RON)

    Is Remote Online Notarization Secure?

    Remote online notarizations are more secure than traditional notarizations that occur in person, as security and recording features are required in order to meet State criteria in place to prevent fraud. You may attend the notarization online from the privacy of your own home or other location of your choice, with even more respect to the confidential nature of your important documents. RON commissioned Notaries Public in New York State are required to retain audio/video recordings of each Remote Online Notarization for a minimum of 10 years.

    Some documents that may not be notarized electronically in New York State include:

    • Powers of Attorney (POA)
    • Healthcare Proxy
    • Trusts
    • Do Not Resuscitate orders (DNR)
    • Wills (Wills are not notarized in NYS)

    These documents may not be signed electronically in NYS.

    You’ll receive a link via email from your notary to log in and upload your documents to a Remote Online Notarization (RON) platform directly from your computer or mobile device. Alternatively, you can send your document to me and I can upload to the online notarization platform to prepare for notarization for you.

    We’ll authenticate your identity by personal knowledge, by oath or affirmation of a credible witness, or verification of an official, acceptable identification pursuant to credential analysis and identity proofing.

        What is an Acknowledgement?

        An Acknowledgement is a formal declaration before a duly authorized officer by a person who has executed an instrument that such execution is his/her/their act and deed. 

        What is a jurat?

        A Jurat is a notarization in which a a signer swears to or affirms the truthfulness of the contents of a document to a Notary or notarial officer. 

        What is an oath or affirmation?

        If your notarization requires an oath or affirmation, often noted on the notary block with a phrase such as “subscribed and sworn”, you will be required to raise your right hand and respond to an oath/affirmation such as “Do you solemnly swear or affirm that the contents of this document subscribed by you is correct and true?” A verbal response is required.

         

        What documents can be notarized?

        NOTE: Wills are not notarized in New York State. Instead, people often use a Self-Proving Affidavit which has your name, your witnesses’ names, and a legal statement declaring you all verify the Will is legal and valid and that you all witnessed its original signing. This document may be notarized.

        Reasons Documents may not be notarized

        Some reasons your document may not be notarized:

            • The document is post-dated, or has a later date than the date you are meeting with your notary. 
            • A signer is unable to prove their identity.
            • A signer isn’t physically present.
            • The document or form is blank, has blank sections, or is missing one or more pages.
            • A signer seems confused and unable to comprehend the content of the documents they are signing and why they are signing them. 
            • If your notary thinks the transaction is illegal, they may decline to notarize the document.
        What do i need for identification?

        How much does notarization cost?

        Notaries in New York State may charge $2.00 per notarial act for in-person notarization and $25.00 for Remote Online Notarization (RON). Travel, printing, and additional service fees pertaining to your mobile or remote notarization are in addition to notarial act fees and will be agreed upon prior to the notarization appointment.
